How to record a payment
What it's for
Recording a payment marks an invoice as paid (fully or partly) and keeps your collection figures accurate. Use it whenever a family pays you — in cash at reception, by card, bank transfer or check.
Where to find it
Open an invoice from Finance → Invoices, then click Record payment. You can also start from the Payments tab with the Record Payment button.
Step-by-step
- Go to Finance → Invoices and click the invoice that was paid.
- Click Record payment in the action bar at the top of the invoice.
- In the Record Payment panel:
- Check the Amount — it defaults to the full balance due. Change it for a
part-payment.
- Choose the Method — Cash, Card, Bank Transfer, Check or Other.
- Set the Date and add a Reference or Notes if useful.
- Click Record payment.
Tips & limits
- A full payment moves the invoice to Paid; a part-payment moves it to Partial
and leaves a balance due.
- Every payment appears on the Payments tab, where you can search and filter by
method, status and date.
