How to set up programs, fees and discounts
What it's for
Programs, fees, discounts and subsidies are the building blocks of your billing. Set them up once and they become quick-add options when you create invoices or set up recurring billing — so you're not retyping prices every time.
Where to find it
Finance → Programs & Fees tab.
Step-by-step
The Programs & Fees tab has five sub-tabs across the top: Programs, Fees, Discounts, Subsidies and Policies.
- Go to Finance → Programs & Fees.
- On Programs, click Add program to create a program families enroll in. Set
its price and billing cycle (for example, C$1,000 per week, or C$3,000 per month) and when invoices are sent and due.
- On Fees, set up one-off charges such as a registration fee or deposit.
- On Discounts, create discounts you can apply to invoices — either a fixed amount
(for example, a scholarship) or a percentage (for example, a sibling discount).
- On Subsidies, set up third-party funding (such as a childcare voucher) that
reduces what the family pays.
- Use Policies for your center's billing rules.
Tips & limits
- Everything you set up here shows up as a quick-add or a selectable option in the
Create Invoice wizard, so build these first.
- Programs can be Active, Archived or viewed together under All — archive a
program instead of deleting it to keep past billing intact.
- The billing cadence on a program (weekly, monthly, quarterly) is what drives
recurring billing.
