How to create and send an invoice
What it's for
An invoice bills a family for fees — registration, deposits, a program, or anything else. You can bill one child or many at once, and Skooly can email the invoice to parents for you.
Where to find it
Finance → Invoices tab → Create Invoice.
Step-by-step
The Create Invoice wizard has three steps.
- Open Finance, go to the Invoices tab and click Create Invoice.
- Select Children — search or filter by classroom, then tick each child you want
to bill. Use Select all to bill a whole classroom at once. Click Next.
- Configure the invoice:
- Add line items — use a quick-add (Deposit, Registration Fee, Late Fee) or add
a custom item.
- Optionally apply discounts or subsidies by clicking the ones that apply.
- Set the Due Date (required) and add any notes.
- Tax is added automatically from your center's tax settings.
- Click Next to reach Review. Check the per-child total and the breakdown.
- Choose how to finish:
- Create & Send — creates the invoice and emails it to the parent.
- Pay at Reception — for a family paying in person.
- Save as Draft — creates the invoice without notifying parents.
Tips & limits
- Billing many children creates a separate invoice for each — same line items, one
invoice per child.
- Every invoice gets its own number (for example, INV-1005-00) and starts as
Pending until a payment is recorded.
- To view, print, email, or download an invoice later, open it from the Invoices
list.
