How to manage leads and update their status
What it's for
Once leads are in your pipeline, you work them — follow up, note where each stands, and keep the list organized so you know who to chase. This article covers finding leads, filtering them, and moving them through the pipeline.
Where to find it
Go to Growth → Leads (the Lead Management page) to see your full list.
Finding leads
- The tabs across the top — All Leads / New / Contacted / Qualified / Converted / Lost — each show a count, so you can see your pipeline at a glance and click one to filter to that status.
- Use Search to find a lead by name, or Filters to narrow by source, priority, and more.
- The tiles at the top summarize your pipeline: Total Leads, Conversions, and Conversion Rate.
Updating a lead's status
As you follow up, move each lead along the pipeline:
- Open a lead (or use its actions).
- Change its status:
- New → a fresh enquiry.
- Contacted → you've reached out.
- Qualified → a good fit, likely to enrol.
- Converted → became a student (usually set automatically when you convert — see *How to convert a lead into a student*).
- Lost → didn't go ahead.
- Update the priority (low, medium, high, urgent) or add notes to record what happened.
Tips & limits
- Keep statuses current — the pipeline counts are only as useful as they are up to date.
- Mark leads that won't proceed as Lost so your active pipeline stays clean; you still keep the record.
- When a lead is ready, don't just set it to Converted manually — use Convert to Student so a student record is created from their details (see *How to convert a lead into a student*).
