How to control staff access to communications
What it's for
By default, sending announcements is an admin task. If you want a staff member — say a program lead or a level coordinator — to send announcements too, you grant them communication access. You can give them full access or limit them to only the levels, programs, or groups they're responsible for, so a coach can message their own students but not the whole school.
Where to find it
Go to Communications → Staff Access.
Step-by-step
- Go to Communications → Staff Access.
- Click Add Staff Access (or open an existing entry to edit it).
- Select the staff member you want to grant access to (the list shows each person's role and branch).
- Choose how much they can reach:
- All Parents/Students — tick this box to let them send to anyone in the academy.
- Limited access — instead, under Groups, pick the specific Academic Levels, Tags, or Programs they're allowed to message.
- Click Add Access. That staff member can now send announcements within the scope you set.
Tips & limits
- Owner, Admin, and Academic Head roles already have access to all groups by default — you only need to add entries here for other staff who need access.
- Limited access means that when the staff member sends an announcement, their recipient options only include people within their assigned levels, tags, or programs.
- Removing a staff member's access stops them from sending new announcements; it doesn't delete announcements they already sent.
- This controls who can send and who they can reach — it's separate from choosing recipients on an individual message (see *How to choose who receives an announcement*).
