How to create message templates
What it's for
A template is a message you save once and reuse — a weekly reminder, an event invite, an emergency notice. Instead of rewriting the same message every time, you pick the template and send. This saves time and keeps your wording consistent.
Where to find it
Go to Communications → Templates.
Step-by-step
- Go to Communications → Templates.
- Click New Template (or open an existing one to edit it).
- Give the template a name (required) so you can find it later, and an optional description of when to use it.
- Choose a category — Announcements, Events, Reminders, Emergency, or Custom — to help organize your templates.
- Write the subject line (required) and the content (required).
- Use the Insert buttons to add placeholders (like the recipient's or student's name) so each person sees their own details when the template is used. Click Preview to see how it will read.
- (Optional) Pick a color and icon so the template is easy to spot in your list.
- Click Create to save the template.
Using a template
When you create an announcement, you can start from a saved template so the subject and message are filled in for you — then adjust and send.
Tips & limits
- Categories are just for organizing your own list; they don't change who receives a message.
- Placeholders are filled in automatically for each recipient when the message is sent.
- Editing a template changes it for next time — it doesn't change announcements you've already sent.
