How to choose who receives an announcement
What it's for
When you send an announcement, you decide exactly who gets it — the whole school, one level or program, a handful of specific people, or your staff. This lets you send a school-wide notice to everyone but a class-specific change to just that group.
Where to find it
The recipient options appear on the New Announcement page (Communications → Announcements → Send Announcement), in the Recipients section.
The ways to choose recipients
The Recipients dropdown offers five choices:
All Students & Staff (the whole school) Sends to everyone — all families and all staff. Use this for school-wide notices like holidays or closures.
All Students Sends to every student's family, without staff.
All Staff Sends to your staff only — useful for internal notices.
Specific Class/Program (a group by criteria) Narrow the audience by ticking one or more:
- Levels — a particular class level or age group.
- Student Tags — students you've labelled (grouped by category).
- Programs — everyone enrolled in a specific program.
You can combine these — for example everyone in one program at one level. Use the search box to find a level, tag, or program quickly.
Specific Students (pick individuals) Choose exact recipients from a searchable list. Search by name or email and tick each person. Use this when the message is only for a few families.
Step-by-step
- On the New Announcement page, find the Recipients section.
- Open the dropdown and choose one of the five options above.
- If you chose Specific Class/Program, tick the levels, student tags, or programs you want to reach.
- If you chose Specific Students, search and select each contact.
- Finish composing and send — you can review who it reached afterward in the delivery status (see *How to send an announcement*).
Tips & limits
- Student Tags come from the labels set on student profiles; if a tag isn't listed, no student currently has it.
- If your staff access is limited to certain levels or programs, you'll only be able to send to people within that scope — see *How to control staff access to communications*.
- To send the same message again later, save it as a template — see *How to create message templates*.
