How to send an announcement
What it's for
An announcement is a message you write and send to families or staff — a schedule change, a holiday notice, an event reminder, anything you need people to know. This article covers writing and sending one. To control exactly *who* receives it, see *How to choose who receives an announcement*.
Where to find it
Go to Communications → Announcements.
Step-by-step
- Go to Communications → Announcements.
- Click Send Announcement.
- Choose who receives it — all students and staff, all students, all staff, a specific class/program, or specific students. This is covered in detail in *How to choose who receives an announcement*.
- Write the subject and the message. Use the Personalization buttons to insert placeholders like the recipient's or student's name so each person sees their own details.
- (Optional) Attach a file — for example a PDF flyer or form — by dragging it in or browsing (PDF, DOC, JPG, PNG up to 10MB).
- Under Delivery, keep Send immediately and click Send Announcement to send it now. (You can also Save as Draft to finish later.)
- The announcement appears in your Announcements list with its delivery status.
Checking whether it was delivered
Open View Details (or View Delivery Status if there were any failures) on the announcement to see how it did — total recipients, how many were delivered, how many failed, and the success rate. You can filter to just the failed ones, Retry a failed delivery, or Export Failed List.
Tips & limits
- Use placeholders (like the recipient's first name) to personalize a message you send to many people at once.
- You can reuse a message you send often by saving it as a template first — see *How to create message templates*.
- Attachments must be a supported file type (for example PDF or Word documents).
- If you don't see everyone you expect in the recipient options, your staff access may be limited to certain levels or programs — see *How to control staff access to communications*.
