How to issue a refund or credit
What it's for
When money needs to go back to a family, you can issue a refund (return the money) or a credit (apply it to their account for future charges) — for example, when a class is cancelled or a payment needs reversing. Everything is tracked so your finance records stay accurate.
Where to find it
From the left sidebar, open Finance → Refunds & Credits. You'll see totals for refunds, credits, deposits held and anything pending approval.
Step-by-step
- Go to Finance → Refunds & Credits.
- Click Issue Refund/Credit (or start one from the related invoice/payment).
- Choose whether it's a refund or a credit, and the family/invoice it applies to.
- Enter the amount — full or partial — a reason, and the method where relevant.
- Confirm. It's recorded against the family's account and appears in the list with a status.
Tips & limits
- A refund returns money; a credit stays on the family's account to offset future invoices.
- Refunds and credits can be full or partial, and some may require approval before they're processed.
- Cancelling a class may automatically restore package credits or grant makeup credits rather than a cash refund — check what fits (see *Cancellation and makeup credits* in Booking & Enrollment).
- Keep a reason on each one so your records explain why money was returned or credited.
