Understanding your catalog and pricing
What it's for
Your catalog is everything your academy offers and how families pay for it. Before diving into the how-to articles, this overview explains the pieces and how they fit together — programs, packages, fees and discounts — so you set things up in a way that makes sense for your academy.
Programs — what you offer
Programs are your core offerings: classes, courses, lessons and camps. Each program has a type based on how it's delivered:
- Group — multiple students per class.
- Private — one-on-one sessions.
- Semi-Private — a small group (2–3 students).
Every program also has a pricing policy that decides *when* families pay:
- Pre Paid — families pay upfront (before attending). Prepaid programs can be sold on their own or bundled into packages (below).
- Post Paid — families are billed after (for example, pay-as-you-go, billed at period end). Postpaid is handled entirely by the program's own pricing — there's no package for it. If you bill postpaid, you're done once the program pricing is set; you don't create a package.
You set the type and pricing policy when you create or edit a program.
Packages — the prepaid options
Packages are prepaid bundles built on top of your programs. They only apply to the prepaid model — a postpaid program is never put into a package. There are four package types:
- Session Pack — a fixed number of sessions across one or more programs (e.g. a 10-session pack).
- Membership — recurring access, billed monthly, quarterly or annually.
- Course — a structured curriculum with a fixed start, end and sequence.
- Event — workshops, camps and intensives that families register for.
When you create a package you also choose how it's paid — Pay in Full, Installments, or Recurring — so families can buy the way that suits them.
Fees — extra charges
Fees are charges beyond the program or package price, such as a registration deposit, uniform or materials. Each fee is either:
- One Time — charged once (e.g. a joining fee or deposit), or
- Recurring — charged on a repeating schedule (e.g. a monthly materials fee).
You choose whether a fee applies to all programs or only specific ones.
Discounts — reducing the price
Discounts lower what families pay. You choose a type and a method (a Percentage off, or a Fixed Amount off). The available types are:
- Promo Code — a code families enter at enrollment.
- Seasonal — time-limited seasonal offers.
- Scholarship — need- or merit-based aid.
- Volume — for buying more (useful for family or multi-enrollment discounts).
- Early Bird — reward for signing up early.
- Loyalty — reward for returning students.
- Referral — reward for referring others.
- Custom — anything that doesn't fit the above.
Putting it together
A typical setup order:
- Create your programs and set each one's type and pricing policy (prepaid or postpaid).
- For prepaid offerings, build packages (session packs, memberships, courses, events).
- Add any fees that apply.
- Set up discounts to run promotions or offer aid.
Postpaid programs skip step 2 — their pricing is all handled on the program itself.
