How to set up your academic structure
What it's for
Your academic structure defines the levels students move through at your academy — such as grades, age groups or skill levels (Beginner, Intermediate, Advanced). These levels appear when you add students and organize your classes. You can also set up tags to label and group students in ways that suit your academy.
Where to find it
From the left sidebar, open Settings → Academic Structure. The page has two tabs: Structure Setup and Tags & Groups.
Step-by-step: set up your levels
- Go to Settings → Academic Structure and stay on the Structure Setup tab.
- To fill in a common set quickly, open the Quick-fill template dropdown (top right of the Levels box) and choose a template:
- K-12 Grades — Pre-K, Kindergarten and Grades 1–12.
- Age Groups — ranges from 3–5 years up to Adult (18+).
- Skill Levels — Beginner, Elementary, Intermediate, Advanced, Expert.
- Choosing a template replaces the current list, so pick the closest starting point.
- To build your own list, click Add Level, then:
- Type a level name (required) and an optional short description.
- Drag the handle on the left of any row to reorder levels.
- Use the checkbox on a row to enable or disable a level without deleting it.
- Click the trash icon to remove a level.
- When your levels are ready, click Save Changes at the top of the page.
Step-by-step: set up tags (optional)
- On the same page, open the Tags & Groups tab.
- To create a group of related tags, click Add Category and give it a name, a short prefix, a color and an icon.
- Within a category, add individual tags (for example, a "Scholarship" tag or a "Competition Team" tag).
- Tags are saved as you create them — there's no separate save step on this tab.
Tips & limits
- Save Changes applies only to the Structure (levels) tab. Tag categories and tags save immediately when you add, edit or delete them.
- Level names must be filled in and can't be duplicates — you'll see an inline red message if a name is missing or repeated, and the save will be blocked until it's fixed.
- Disabling a level (unchecking it) hides it from new student forms without removing existing history.
- If you've customized your levels and then explore a template, you can return to your saved set by choosing My saved levels from the Quick Fill dropdown (shown once you've saved at least once).
